Job OverviewWe are seeking a motivated and organized Front Desk Coordinator to join our team. In this pivotal role, you will be the first point of contact for our patients and visitors, ensuring a welcoming and professional environment. You will manage various administrative tasks that support the smooth operation of our office, making your contribution essential to our success. This position works closely with the Benefits Coordinator and Financial Coordinator to help verify insurance benefits and discuss payment arrangements.
Duties
- Greet and assist patients and visitors in a friendly and professional manner.
- Manage the office calendar, scheduling appointments and coordinating meetings.
- Handle incoming phone calls with excellent phone etiquette, directing calls as necessary.
- Maintain accurate records and files, ensuring all documentation is organized.
- Provide exceptional customer service, addressing inquiries and resolving issues promptly.
- Perform clerical duties including proofreading documents and managing correspondence.
- Assist with office organization to ensure a clean and efficient workspace.
- Collaborate with team members to support daily operations and special projects.
Qualifications
- Preferred experience as a Front Desk Coordinator or in a similar administrative role.
- Strong calendar management skills with the ability to prioritize tasks effectively.
- Excellent phone etiquette and communication skills, both verbal and written.
- Proficient computer literacy, including experience with office software applications.
- Previous experience as a dental receptionist is a plus but not required.
- Exceptional customer service skills with a focus on client satisfaction.
- Strong time management abilities to handle multiple tasks efficiently.
- Highly organized with attention to detail in all aspects of work.
Front Desk Responsibilities include but are not limited to:
- Answer the phones and respond to all other forms of correspondence from patients, families, dental offices, and vendors in a friendly and professional manner
- Oversee the schedule template to ensure appropriate patient flow is maintained
- Prepare referral letters and ensure they are sent to appropriate facilities in a timely manner
- Monitor and track analytics to ensure key metrics continue to be met
- Train all appropriate staff on proper scheduling guidelines
- Learn and maintain a strong knowledge of insurance benefits and payment processing
- Other duties as assigned by the Director of Operations
