Assistant Property Manager
Kaito Management, a Brooklyn-based property management company run by multi-generational real estate experts, specializes in real estate management, project management, and building maintenance services. With an exciting new office opening soon on 3rd Street, just off 7th Avenue in Park Slope, were growing our dedicated team!
We are currently seeking a dedicated, detail-oriented individual to join us as an Assistant Property Manager for our property portfolio. The Assistant Property Manager will provide vital support to the operations and managers, resident relations, and administrative responsibilities, contributing significantly to the success and vibrancy of our communities.
Essential Job Functions:
- Address resident requests, complaints, and inquiries promptly and effectively according to standards.
- Act as a liaison between ownership and residents, managing and distributing resident communications.
- Foster positive relationships among residents, management, and building staff.
- Assist with office responsibilities, including scanning documents, postage and delivery oversight, mail procurement, entering postage and other data entry, filing and other office needs.
- Manage building and office supply inventories and provide manager and executive support
- Help managers implement house rule compliance across properties, including email correspondence.
- Prepare task and arrears reports and help manager perform tasks and minimize resident arrears
- Support operations team and help coordinate move-in/move-out schedules, collect insurance certificates, and process move-out reports requests and deposit return requests.
- Collaborate with property management and operations team on vendor correspondence and billing.
- Help enforce lease compliance, prepare leases, review applications, and manage tenant notifications.
- Aid managers in the field with delegating email requests
- Answer calls, direct tasks and requests to appropriate personnel.
- Exhibit exceptional communication skills for interactions with tenants, staff, vendors, and visitors.
This position may require additional responsibilities as needed.
Qualifications
- Bachelors degree in business, marketing, real estate, or finance is preferred.
- Minimum of 2 years of multifamily leasing and/or assistant community management experience.
- Proficiency in navigating computers and community management software, including Google Suite, AppFolio and Slack
- Technical knowledge of building operations and maintenance.
- Understanding of budgeting and real estate financial reporting.
- Valid NYS real estate license or ability to obtain one within the first 180 days of employment. All active license holders must register their license with Kaito Management upon hire.
Other Skills and Attributes:
- Appfolio experience desired
- General understanding of local laws, and industry standard operating procedures as they relate to property management
- General knowledge of building systems a plus
- Must have exceptional organizational skills and ability to multi-task
- Drivers License a plus
