Brightview Care is a rapidly growing provider of in-home Applied Behavior Analysis (ABA) services for children with Autism throughout Michigan. We are looking for a highly organized, detail-oriented ABA Scheduler who thrives in a fast-paced environment and enjoys solving scheduling puzzles while creating positive experiences for our families and clinical team.
As an ABA Scheduler, you will play a critical role in ensuring our clients receive consistent services by coordinating schedules between families, Behavior Technicians, and BCBAs. You'll work closely with multiple departments to support new hires, maintain ongoing schedules, and ensure continuity of care.
Coordinate case assignments for newly hired and existing Behavior Technicians (BTs/RBTs)
Match technicians with clients based on availability, location, experience, and clinical needs
Maintain employee availability and scheduling within our scheduling software
Communicate with families regarding scheduling needs, changes, and ongoing availability
Coordinate technician start dates with Human Resources and Clinical Supervisors (BCBAs)
Manage case reassignments due to staffing changes, employee availability, or client needs
Partner with the Intake and Authorizations teams to ensure timely scheduling of new authorizations and continuity of services
Monitor client schedules to minimize gaps in care and maximize service utilization
Collaborate with Clinical Directors and BCBAs regarding staffing needs, schedule adjustments, and coverage
Assist with technician schedule optimization to improve productivity and reduce travel time
Respond promptly to daily schedule changes, cancellations, and urgent staffing needs
Maintain accurate scheduling records and documentation
Track open cases and staffing vacancies while proactively identifying scheduling solutions
Communicate professionally with employees, families, and internal departments
Generate scheduling reports and assist leadership with staffing metrics
Participate in process improvement initiatives and special projects as assigned
Perform additional administrative duties to support Operations as needed
High School Diploma required; Associate's or Bachelor's degree preferred
Minimum of 1-2 years of scheduling, staffing coordination, healthcare, ABA, or customer service experience
Experience working in ABA, home health, behavioral health, or healthcare scheduling strongly preferred
Strong organizational and multitasking skills
Exceptional communication and customer service abilities
Ability to prioritize competing demands in a fast-paced environment
Excellent problem-solving and critical-thinking skills
Proficiency with Microsoft Office (Outlook, Excel, Word)
Experience with CentralReach or other scheduling software is a plus
Highly organized and detail-oriented
