Export Documentation Specialist
Location: Bakersfield, CA Schedule: Full-Time Pay: $22 – $26 per hour (DOE) Employment Type: Temp-to-Hire
About the Opportunity
Key Staffing is currently recruiting for an Export Documentation Specialist on behalf of a well-established company in the agriculture and food export industry. This position plays a critical role in ensuring export shipments are processed accurately, efficiently, and in compliance with international trade regulations.
The ideal candidate will have experience with export documentation, logistics coordination, and accounts receivable functions related to international shipments. This is a fast-paced role requiring strong attention to detail, communication skills, and the ability to manage multiple priorities.
Key Responsibilities
Export Documentation & Compliance
Prepare, review, and submit export documentation including:
Commercial Invoices
Packing Lists
Ocean Bills of Lading
Certificates of Origin
Phytosanitary and Health Certificates
Bank documents for documentary collections
Ensure compliance with U.S. export regulations, destination country import requirements, and customer documentation standards.
Verify accuracy of shipment information including pricing, weights, HS codes, Incoterms, and shipment details.
Identify and resolve documentation discrepancies that may delay shipments.
Tracking receivables and assisting with collections follow-up
Code and log vendor and freight invoices accurately.
Review ocean freight invoices and statements for discrepancies.
Shipment Tracking & Logistics Coordination
Track export shipments from origin through final destination.
Maintain shipping logs and documentation records for each order.
Coordinate with freight forwarders, carriers, logistics teams, and internal departments to ensure timely shipment processing.
Communicate shipment updates, delays, or changes to internal teams and customers.
Customer & Internal Communication
Provide responsive customer service and resolve inquiries regarding shipment status or documentation.
Communicate with international customers via email, phone, and messaging platforms.
Work closely with sales, accounting, logistics teams, brokers, and carriers to ensure smooth export operations.
Follow up proactively to ensure deadlines and service expectations are met.
Administrative Support
Maintain organized electronic filing systems for export documentation.
Ensure professional communication in all written documentation and correspondence.
Assist with process improvements and perform additional duties as assigned.
Qualifications
Experience in Accounts Receivable, preferably within export, logistics, or international trade environments.
Prior experience with export documentation, freight forwarding, or international shipping highly preferred.
Knowledge of international shipping documentation and customs requirements.
Experience with NetSuite or similar ERP systems preferred.
Strong proficiency in Microsoft Excel and Word.
Excellent written and verbal communication skills.
Strong analytical and problem-solving abilities.
High attention to detail and accuracy.
Ability to work independently and collaboratively.
Minimum typing speed of 55 WPM.
Education
Bachelor’s degree in International Trade, Logistics, Business Administration, Accounting, or related field preferred, or equivalent work experience.
