Job Description

Job Description

Property Management Assistant (Vacant Home Care)

Role Overview:

You will support the management of high-end, vacant luxury estates. Your primary focus is maintaining the integrity of these properties through meticulous inspections, managing high-level vendor relationships, and providing white-glove concierge service to our Japanese-speaking clientele.

Key Responsibilities

  • Weekly Property Inspections: Conduct thorough on-site walkthroughs to check for maintenance issues, security, and overall property condition.
  • Vendor Coordination: Act as the primary point of contact for contractors (landscapers, pool technicians, cleaners). Schedule repairs and oversee project quality.
  • Bilingual Reporting: Prepare and deliver detailed property status reports. Professional fluency in Japanese is required to communicate effectively with our overseas owners.
  • Luxury Concierge Services: Coordinate "arrival prep" (grocery stocking, car detailing, floral arrangements) and provide personalized support while owners are in residence.

What We’re Looking For

  • Language Skills: Native or near-native fluency in Japanese (written and verbal) is essential for owner reporting.
  • Reliability: A valid driver's license and a clean driving record are required for weekly site visits.
  • Attention to Detail: You notice the small things—like a salt-corroded light fixture or a wilted plant—before the owner does.
  • Professionalism: Experience in luxury hospitality or high-end real estate is a significant plus.

1. Administrative & Organizational Prowess

  • Calendar Management: Coordinating inspections, vendor repairs, and lease signings without double-booking.
  • Documentation: Handling sensitive lease agreements, tenant files, and insurance records with high accuracy.
  • Tech Literacy: Proficiency in property management software (like AppFolio, Yardi, or Buildium) and the standard Microsoft Office/Google Workspace suites.

2. Communication & Interpersonal Skills

  • Conflict Resolution: The ability to remain calm and professional when a tenant is frustrated about a repair or a late fee.
  • Professional Writing: Crafting clear, firm, yet polite emails and notices (e.g., "Notice to Enter" or "Late Rent" reminders).
  • Vendor Liaison: Effectively communicating project scopes to contractors to ensure repairs are done right the first time.

3. Financial Acumen

  • Basic Accounting: Understanding debits and credits, processing invoices, and assisting with monthly owner statements.
  • Rent Collection: Tracking payments, managing security deposits, and following up on delinquencies.

4. Field-Specific Knowledge

  • Legal Basics: A foundational understanding of Fair Housing Laws and local Landlord-Tenant Codes to keep the company compliant.
  • Maintenance Literacy: You don’t need to be a plumber, but you should know the difference between a minor leak and an emergency flood to prioritize work orders.

5. The "Soft" Essentials

  • Prioritization: Knowing when a "broken dishwasher" takes a backseat to a "burst pipe."
  • Attention to Detail: Noticing a small crack in a wall during a move-out inspection that could save the owner hundreds later.

Vacation Rental Management Assistant

Are you a hospitality pro with a knack for seamless coordination and a passion for guest satisfaction? We are seeking a bilingual Vacation Rental Management Assistant to help us oversee a portfolio of premium properties.

This is a dynamic, "on-the-move" role where no two days are the same. You will be the bridge between our international guests and the high-standard experience they expect.

The Role

As the right hand to our Property Manager, you will ensure our rentals are guest-ready and running smoothly. Your day-to-day will involve:

  • Guest Communication: Handling inquiries and check-in instructions in both English and Japanese.
  • Quality Control: Conducting pre-arrival inspections to ensure cleaning and maintenance meet our standards.
  • On-Site Support: Meeting guests for check-ins, troubleshooting minor issues, and providing local concierge recommendations.
  • Vendor Coordination: Liaising with cleaning crews and maintenance contractors to keep properties in top shape.

What You Bring to the Table

  • Bilingual Proficiency: Professional-level fluency in English and Japanese (written and verbal) is essential for interacting with our diverse clientele and owners.
  • Industry Experience: A background in Property Management, Hotel Front Desk, or Concierge services is highly preferred.
  • Reliable Transportation: You must have your own vehicle and a valid driver’s license for travel between property sites.
  • Problem-Solving Skills: The ability to think on your feet and resolve guest issues with a "can-do" attitude.
  • Tech Savvy: Comfortable using booking platforms (Airbnb, VRBO) and basic management software.

Assistant to Property Management Division

About the Role

We are seeking a highly organized, detail-oriented Assistant to Property Management to join our fast-paced team. This is a critical "hub" role where you will bridge the gap between property owners, tenants, and vendors. You’ll handle everything from financial processing and lease preparation to on-site inspections and bilingual communications.

If you are a problem-solver who enjoys a mix of office administration and "boots on the ground" property work, we want to hear from you.

Key Responsibilities

  • Operations & Maintenance: Coordinate property repairs by dispatching vendors, managing work orders via Property Boss, and communicating schedules with tenants.
  • Tenant & Owner Relations: Serve as a primary point of contact for inquiries. This includes providing Japanese translation services (verbal/written) for our international clients.
  • Financial Administration: Process rental checks, security deposits, and credit card payments. Calculate prorated rents and utilities, and manage the billing of electrical charges to tenants.
  • Leasing Support: Prepare rental agreements, management contracts, and move-in/out documentation. Assist Property Managers with unit showings and inspections.
  • Compliance & Records: Maintain the A/C service logs and insurance logs. Review property insurance for adequate coverage and process insurance claims promptly.
  • Digital & Physical Filing: Ensure all invoices, owner statements, and legal contracts are scanned and filed accurately within the "Y Drive" and physical folders.

Qualifications

  • Tech-Savvy: Experience with Property Boss (or similar PM software) and Microsoft Office Suite is highly preferred.
  • Detail-Oriented: Ability to calculate prorated figures and manage complex insurance/A/C logs with 100% accuracy.
  • Customer-Centric: A professional phone manner and the ability to handle delinquent account follow-ups with firmness and tact.
  • Reliable Transportation: Ability to assist with on-site inspections and showings as needed.
