Your Role:
As an employee of Offshore Launch, you are being hired for a unique role within a target Clients company. We value long-term partnerships, and seek to recruit talent that will serve an individual Clients business for multiple years.
You will work full-time with the Client company. However, the Agency provides ongoing support to ensure your continued success. As such, we create space for ongoing check-ins, feedback and development through:

About the Client:
Founded in 2015, this San Antonio-based firm specializes in mechanical and structural engineering services. With a remote-based model, it recruits top talent across five states, ensuring flexibility and exceptional service for clients. The goal is to build lasting relationships by providing optimized, high-quality results.
Responsibilities:
- Manage and track employee and contractor hours, ensuring accurate billing based on fixed fees, time and materials, or mixed contract terms.
- Process payroll for salaried employees and contractors, ensuring payments align with project agreements.
- Enter and reconcile contractor bills in accounting and time-tracking systems (QuickBooks & BQE) to improve project profitability reporting.
- Maintain and update contract tracking software, including amendments and project status changes.
- Generate and distribute biweekly billable hours reports, providing insights on employee utilization.
- Implement and oversee an approval process for hourly reporting, verifying hours before client billing.
- Sync financial data across platforms, reconciling BQE with QuickBooks and bank accounts for accuracy.
- Support financial reporting, including profit and loss analysis and ongoing improvements to internal accounting processes.
- Permit Tracking & Updates in Smartsheets: Maintain and update the Smartsheets permit log, marking completed tasks that feed into the invoicing process.
- Engineering License Management: Track engineering licenses, Continuing Education Unit (CEU) requirements, and renewals as needed.
- General Phone Support: Answer incoming calls via Microsoft Teams when available (call volume is low at 2-4 calls per day).
- Taking meeting notes: Attend internal meetings and track project and contract details.
Requirements:
- Accounting degree or similar required.
- 5+ years experience in payroll processing, accounting, or a related finance role.
- General Admin and Project management experience is a huge plus!
- Strong understanding of billing methods, including hourly, fixed fee, and time & materials.
- Proficiency with QuickBooks and BQE (or similar project tracking/accounting software).
- Ability to manage multiple contractors and employees with varying pay structures.
- Detail-oriented with excellent organizational and problem-solving skills.
- Strong communication skills to coordinate with employees, contractors, and management.
- Experience with financial reconciliation and reporting, including profit analysis.
- Ability to work independently in a remote environment while improving processes as needed.
Compensation & Benefits (to be provided by Offshore Launch):
- $975-$1,525 depending on experience
- 13th month pay
- Performance-based bonuses
- Comprehensive HMO policy, including dependents.
