Administrative Assistant

Minimum Requirements:

Education:

  • High School Diploma with related experience

Skills:

  • Medical Office/ Healthcare experience
  • Experience with CPST/ PSR preferred
  • English language reading, writing, and speaking skills
  • Excellent communication and listening skills
  • Computer literate
  • Knowledge and experience working with general office equipment
  • Basic data entry skills
  • Good organizational and prioritization skills
  • Detail oriented with the ability to follow through a given task
  • Must maintain appropriate level of professional demeanor
  • Must maintain appropriate composure when dealing with sensitive subject matter
  • Must recognize, retain and preserve confidential information

Responsibilities:

  • Performs general secretarial duties (phone messages, copying, faxing, filing, mail distribution)
  • Utilizes Electronic Health Record (enters/updates member information, reviews reports to confirm staff note entry and presence of errors)
  • Confirms Medicaid eligibility using Medicaid website; confirms member enrollment and Prior Authorization with insurance companies via telephone or website
  • Completes initial and annual forms with members; creates and maintains member charts, including those for medication management
  • Assists licensed staff in submission and tracking of prior authorizations or denials
  • Copies and provides clinical staff with current Treatment Plans
  • Maintains records of monthly clinical staff supervision
  • Assist HR Manager, Clinical Director and Compliance Officer in the collection of information and generation of reports, as requested.
  • Collects information and generates weekly or monthly reports as requested by HR Manager, Clinical Director and Compliance Officer (discharges, first date of service, etc.)
  • Assists Office Administrator in maintaining building and supply inventory
  • Schedules appointments: assessments, re-assessments, treatment plan updates, medication management, outpatient counseling; conducts reminder calls
  • Assists on med clinic days: documents members vital signs, schedules follow up appointments, faxes medication letters to PCP, completes medical PAs and faxes to insurance companies
  • Complete requests for member information as required by policy and procedure

· Provide clerical backup to other offices as needed

· May run errands/purchase supplies using personal vehicle.

· Perform all other duties as assigned by immediate supervisor, and/or Chief of Operations

Job Type: Part-time

Pay: $14.00 per hour
