Executive Assistant
Who Youll Work With: We are seeking Executive Assistant for the Head of Client and Advisory at Bernstein Private Wealth Management. This individual will provide direct administrative support to an Executive Managing Director and collaborate on project work and coordination with the National Director of Client and Advisory. What Youll Do:
- Coordinate and organize senior-level meetings and manage day-to-day calendar changes for the Head of Client and Advisory
- Organize travel itineraries and reconcile expenses
- Create and update PowerPoint presentations including organization of speaker notes
- Maintain and update central project list for Client & Advisory
- Prepare meeting agendas and prework emails in advance of weekly and monthly meetings
- Prepare weekly memos for Executive Leadership
- Partner with National Director to route approved legal documents for advisors and track receipt of executed documents
- Create surveys to gather feedback from various audiences
- Maintain National Calendar for all events that impact Advisors and Managing Directors
- Assist in ad-hoc reports and special projects as needed requiring a high level of detail and follow-up
- Provide general administrative duties in a timely manner, including the preparation and revision of correspondence, database maintenance, reconciling monthly expenses, and scheduling and management of reporting
- Work the approximate hours of: 8:00 a.m.-5:00 p.m. Flexibility to work overtime as workload demands change
- Minimum 5 years of experience in administrative or executive support in a corporate or professional office with experience working alongside high-level executives
- Bachelors degree required
- Ability to exercise a high level of discretion in connection with complex and confidential duties
- Excellent verbal and written communication skills for frequent internal and external interaction
- Ability to prioritize and execute tasks and projects in a dynamic, deadline-oriented environment
- Self-starter with excellent anticipation skills, problem-solving, and follow-up
- Strong organizational skills and impeccable attention to detail
- Effective interpersonal skills and flexibility to adapt to a variety of personalities
- Ability to perform a wide variety of tasks and flexibility to change focus quickly as demands change
- Demonstrates a high degree of integrity, confidentiality, and dependability
- Working knowledge of Microsoft Word, Excel, and PowerPoint.
