Director, Administration

Reports to: Vice President and Chief Financial Officer

Location: Liliʻuonamoku, Honolulu, HI

FLSA Status: Full Time

Job Purpose

The Administration Director leads the administrative functions at the Liliʻuokalani Trust, ensuring efficient operations, policy compliance, and resource management.

Essential Responsibilities
  • Oversee daily operations of the administrative team, supervising staff and providing guidance.
  • Streamline administrative processes to optimize workflow and improve effectiveness.
  • Manage budgets, expenses, and purchasing activities to ensure cost-effectiveness.
  • Handle employee-related administrative tasks, including onboarding, offboarding, performance evaluations, and records management.
  • Develop and implement training programs for administrative staff.
  • Plan office space at Liliʻuoanamoku (corporate headquarters).
  • Negotiate contracts and agreements with vendors and service providers.
  • Oversee records management systems and offsite storage for efficient document storage and retrieval.
  • Maintain inventory of the Queen’s artifacts and safeguard storage.
  • Manage inventory of office furniture, equipment, and fine arts.
  • Oversee organization-wide travel management process.
  • Ensure annual business registration renewals are completed timely.
  • Assist and coordinate the annual probate court process document gathering.
  • Maintain and update policies and procedures relating to all administrative, procurement, and support functions.
  • Ensure compliance with relevant laws, regulations, and industry standards.
  • Assist in event planning and coordination.
  • Manage special projects and initiatives to support the executive office.
  • Other duties as assigned.
Qualifications
  • Bachelor’s degree in business administration, management, or a related field.
  • Extensive experience in administration and operations in a senior role (minimum 3 years).
  • Strong leadership and management abilities, with the ability to motivate and inspire a team.
  • Strong analytical and data‑driven mindset.
  • Strong ethical conduct and discretion with confidential information.
  • Strong understanding of budgeting and financial management principles.
  • Strong problem‑solving skills and solutions‑oriented attitude.
  • High level of professionalism in dealing with fluid and complex situations.
  • Excellent written, verbal communication and listening skills; comfortable communicating with high‑level executives.
  • Proficiency in using Microsoft Office Suite.

Mental and Physical Demands
  • Ability to lift boxes up to 25 lbs and stack 3‑4 feet above floor level.

  • Constant computer operation and other office productivity machinery.
  • Need to travel occasionally via ground or air to other office locations.
  • Frequently communicate in writing or verbally to co‑workers.
  • Frequently read and interpret written agreements.
