We are seeking a detail-oriented and proactive Legal Administrative Assistant to join our team in San Francisco. The successful candidate will provide essential administrative support to our attorneys, paralegals, legal secretaries, Office Administration Director, business development team and other administrative staff, ensuring the smooth and efficient operation of the Firm. The Legal Administrative Assistant reports to the Legal Support Services Supervisor, is a hybrid work schedule (onsite 2+ days per week).

The hourly range for the position of Legal Administrative Assistant at Nossaman is approximately $23.07 to $33.33 an hour. The successful candidate’s annual compensation for this position is reasonably expected to be set between $45,000 and $65,000 per year. However, actual compensation will depend on a variety of factors, including, without limitation, the candidate’s qualifications and experience.

Key Responsibilities

  • Draft and/or edit correspondence, basic legal documents and miscellaneous forms/documents
  • Prepare and submit attorney expense reports and vendor invoices via Chrome River
  • Schedule onsite and offsite meetings, schedule depositions and arrange conference/video calls
  • Assist with attorney travel arrangements, including hotel and airline reservations
  • Manage meeting planning, including reserving conference rooms, resolving scheduling conflicts and coordinating meals
  • Complete various paperwork, including conference registration, attorney memberships, sponsorship forms, etc.
  • Maintain and organize physical and digital legal documents, ensuring proper indexing, filing and saving
  • Review and edit pre-bills for attorneys and Legal Secretaries, coordinating with billing and finance teams as needed
  • Assist and manage the intake process while coordinating with Legal Secretaries and the other departments
  • Facilitate the printing, copying, scanning, distribution and saving of documents in coordination with other Firm resources and policies
  • Effectively and diplomatically interact with attorneys and staff across all offices
  • Manage and prioritize projects and tasks efficiently to ensure timely completion
  • Maintain strict confidentiality at all times, consistent with the Firm’s policies and procedures
  • Other administrative tasks as assigned

Experience and Qualifications

  • High School Diploma or GED equivalent required
  • 1-2 years of experience as an Administrative Assistant, with preference towards experience working in a legal or professional services firm
  • Technology skills commensurate with modern office work, including working knowledge of Microsoft Outlook, PowerPoint, Word and Excel
  • Ability to multi-task, prioritize and work efficiently
  • Ability to handle multiple demands and shift priorities with ease
  • Ability to work independently and be a self-starter, demonstrating an energetic attitude
  • Excellent grammar, spelling and proofreading skills
  • Ability to listen, communicate (written and verbal) and follow-up with personnel at all levels of the Firm
  • Flexibility to meet Firm and client demands by working after-hours and overtime as needed
  • Ability to perform at high levels in a fast paced, changing work environment
  • Ability to anticipate work needs and follow through with minimum direction
  • Knowledge of legal terminology, legal and court procedures is preferred
  • Typing of 50-60+ wpm
