Position Summary
LJ Electrical Company is seeking a detail-oriented and highly organized Payroll Administrator to manage and process payroll operations for a fast-paced commercial electrical contracting environment. This position is responsible for ensuring accurate and timely payroll processing for field and office employees while maintaining compliance with federal, state, and local regulations, union requirements (if applicable), and certified payroll reporting requirements for government-funded projects.
This role will also support employee benefits administration, including new hire benefit enrollments, benefit changes, and annual open enrollment coordination.
The ideal candidate will have experience processing payroll in the construction industry, strong knowledge of certified payroll requirements for federal and prevailing wage projects, and experience working within Trimble software systems or similar construction ERP/payroll platforms.
Essential Duties & Responsibilities
Payroll Administration
- Process weekly and/or bi-weekly payroll for field and office employees accurately and on schedule.
- Review and verify employee time records, job costing allocations, per diem, reimbursements, and overtime calculations.
- Ensure payroll is processed in compliance with company policies, labor laws, prevailing wage requirements, and project-specific contractual obligations.
- Maintain accurate payroll records, employee deductions, garnishments, benefits, and tax withholdings.
- Coordinate payroll corrections, adjustments, and off-cycle payrolls as needed.
- Audit payroll reports for accuracy prior to submission and distribution.
- Assist employees with payroll-related questions and resolve discrepancies in a timely and professional manner.
Certified Payroll & Compliance
- Prepare and submit certified payroll reports for federal, state, and prevailing wage projects in accordance with Davis-Bacon and related requirements.
- Maintain compliance documentation for government-funded projects, including wage determinations and fringe benefit calculations.
- Monitor project labor classifications and prevailing wage rates to ensure compliance.
- Assist with audits, labor compliance reviews, and requests from contractors, government agencies, or internal leadership.
- Maintain records related to certified payroll, apprentice ratios, and workforce compliance requirements.
Benefits Administration
- Assist with administration of employee benefit programs including medical, dental, vision, life insurance, disability, and retirement plans.
- Coordinate new hire benefit enrollment and ensure timely completion of enrollment documentation.
- Assist employees with benefit questions, enrollment changes, and qualifying life event updates.
- Support annual open enrollment processes, employee communications, and benefit elections.
- Maintain accurate benefit records and payroll deductions related to employee benefits.
- Coordinate with benefit providers and brokers regarding eligibility, enrollments, and billing discrepancies.
Construction Payroll & Job Costing
- Review labor hours and coding to ensure accurate allocation of labor costs to projects and phases.
- Work closely with project management and field leadership to resolve timekeeping and labor coding issues.
- Support reporting needs related to labor tracking, workforce utilization, and project payroll analysis.
- Assist with onboarding processes related to payroll documentation and employee setup.
Systems & Reporting
- Utilize payroll and ERP systems to maintain employee and payroll data.
- Experience with Trimble Viewpoint, Spectrum, or other construction payroll/accounting software is highly preferred.
- Generate payroll reports and assist leadership with payroll analytics and labor reporting.
- Support process improvement initiatives to streamline payroll workflows and improve accuracy and efficiency.
Qualifications
Education & Experience
- Associate degree in Accounting, Business Administration, or related field preferred.
- Minimum of 3 years of payroll administration experience required.
- Previous payroll experience within the construction industry strongly preferred.
- North Carolina Notary Public preferred.
- Experience processing certified payroll for federal or prevailing wage projects required.
- Experience with employee benefits administration preferred.
- Experience with Trimble software systems highly preferred.
- CPP (Certified Payroll Professional) certification is a plus.
Knowledge, Skills & Abilities
- Strong understanding of payroll laws, wage and hour regulations, and payroll tax requirements.
- Knowledge of Davis-Bacon Act and prevailing wage compliance requirements.
- Familiarity with employee benefits administration and enrollment processes.
- Ability to maintain confidentiality and handle sensitive employee information professionally.
- Strong attention to detail and high level of accuracy.
- Excellent organizational, communication, and problem-solving skills.
- Ability to prioritize tasks and meet deadlines in a fast-paced construction environment.
- Proficient in Microsoft Office Suite, particularly Excel.
Working Conditions
- Primarily office-based environment.
- Occasional extended hours may be required during payroll processing periods, open enrollment periods, or project deadlines.
Physical Requirements
- Prolonged periods sitting at a desk and working on a computer.
- Ability to communicate effectively in person, via phone, and electronically.
